Position:             Billing Coordinator                                         Department:     Administration
 
Reporting to:    Administration Manager                           Priorities:           Billing & Admin support               
Job Summary:
Reporting to the Administration Manager, this role is responsible for all aspects of customer billing. Working with representatives from other departments, this position troubleshoots any billing issues, ensures the timely and accurate creation of billing and all associated reporting, as well as assisting in other administrative functions as required.
 
Responsibilities/Daily tasks
·        Accurate daily billing of customer shipments in alignment with standardized procedures
·        Create additional invoices as required for any additional charges
·        Ensure all special billing clients are invoiced within the parameters of their procedure
·        Utilize industry knowledge to ensure orders are rating appropriately
·        Coordinate with representatives from other departments to resolve issues preventing accurate billing
·        Ensure issues are escalated through the Administration Manager when appropriate
·        Complete all reporting requirements related to the billing function in a timely manner
·        Employ a continuous improvement mindset to identify, design, and implement improvements to our processes
·        Ensure any role specific Standard Operating Procedures are kept up to date or created as necessary
·        Maintaining a customer service mindset, investigate and respond to customer questions in a prompt fashion
·        Support the Administration Manager with other duties as required
Qualifications:
·        Minimum of 5 years of related administration experience or 3 years of experience with Billing and Accounts Receivable
·        Experience in Transportation is a strong asset
·        Basic accounting knowledge is an asset
·        Experience with TruckMate or other Transportation Management Software is an asset
·        A Post-Secondary Certificate, Diploma, or Degree in a related field
·        Strong time management skills with the proven ability to multitask
·        Strong work ethic and superior attention to detail and accuracy
·        A positive attitude and ability to work in a team environment
·        Understand and practice the importance of private and confidential information
·        Ability to develop, plan, and implement short- and long-term goals
